We rented two photo booth units for a corporate event, but one arrived damaged — the ring light and phone holder were broken, making the unit unusable. We sent photos the same day, returned the equipment exactly as instructed, and requested a partial refund for the booth we could not use. Unfortunately, we traveled in for the event and had this shipped to the venue so we had no way of inspecting the equipment early, which is very common when planning conferences around the US. After weeks of back-and-forth, the refund was denied. We were told the only option was a future rental credit, which doesn’t help when the purchase was made on behalf of a client and the equipment failure was on their end, not ours.The support team was polite, but the policy prioritizes protecting the company over taking responsibility for damaged equipment. We paid for two units and were only able to use one — and were still charged in full.If you are renting for a client-facing event and purchasing on behalf of a client, be aware: if equipment arrives damaged, you may still be held financially responsible. Their resolution was limited to future rental credit which meant we—not the rental company—must personally refund the client for equipment that did not work, while holding a credit our original client has no interest in using. Any future use of that credit requires us to risk another event on replacement equipment that may or may not arrive functional.Edit: we did request to cancel one of the two booths but since we could not cancel due to their cancellation policy, which I totally understand, we decided to keep both booths for the event and even ordered a second backdrop for it! This request to cancel one of two booths should have had no impact on us receiving two working booths or the outcome of a refund request for their failed equipment. It seems like they sent us a broken booth expecting us to only use one and not notice the other was broken. Additional context: The shipment was delivered directly to the venue while we were traveling in for a destination conference. We did not have physical access to the equipment prior to setup, and the damage was discovered and reported as soon as we were able to break from an active 800-person conference.As event professionals, we rely on vendors to deliver functional, event-ready equipment without requiring advance oversight. In this case, that expectation was not met.
