Frustrating Experience with an Inefficient System

I work at a large state university, and my expertise lies in Computer Science and Business Analytics. My current role involves managing veteran education benefits. Unfortunately, the service provided by the Department of Veterans Affairs (VA) requires us to use a subpar system known as Tungsten. This platform is a major hassle, making it nearly impossible to track purchase orders without a specific PO number. We can't search for any associated metadata like veteran names or counselor details, which are all stored within the system. This forces us to manually sift through purchase orders, one by one, if a PO number gets misplaced. We've set up our own invoicing system and maintain spreadsheets to keep track of everything related to Tungsten POs and our invoices, only to have to duplicate efforts by creating invoices within Tungsten as well, hoping they don’t disappear in the process. Searching for a purchase order is another ordeal. The system doesn’t allow you to stay on the search screen or open POs in new tabs, making the process cumbersome. Each time you close a PO, you must start a new search, which is incredibly frustrating. The system seems to have been designed without input from experienced software engineers, as it lacks a user-friendly interface. It operates slowly and frequently prompts you to verify your login even while you are actively using it, which is quite irritating. Additionally, entering line items for invoices is a challenge; whenever you click a textbox to paste information from our actual invoicing system, Tungsten obstructs your view with tooltips, complicating the process. Having used enterprise systems such as SAP, which, while not user-friendly, are at least efficient, I can confidently say that nothing about Tungsten promotes efficiency. Its design seems aimed at making the user experience as tedious and slow as possible.

Black hole of purchase orders and bad UI design.

I work at a large state university. My background is in Computer Science and Business Analytics. My job currently deals with veteran education benefits. The Department of Veterans Affairs (VA), unfortunately, requires us to use this substandard product called Tungsten. Tungsten is essentially a black hole that sucks up purchases orders and makes you jump through hoops to find them again. VA creates a purchase order in Tungsten. There is no way for us to find a purchase order, except by the PO number. We can't search for ANY metadata with that PO such as the veteran's name, the VA counselor's name, the dates the PO is active, etc. All this information is stored with the purchase order in Tungsten, but Tungsten doesn't allow searches on anything other than the PO number and the date it was submitted. We have to manually dig through POs, one by one to find one if we somehow lose track of a PO number for a student. We have to setup an entire system just for keeping track of everything in Tungsten. So we have to use our own proper invoicing system, then we have to maintain a spreadsheet with Tungsten PO's and our invoices. Then we have to manually create a Tungsten invoice, copying everything from our real invoice. Then we have to hope Tungsten doesn't lose it in the black hole.If we do have to search for a PO, there is no way to stay on the search screen. We can't open the PO in a new tab. They block that, because they enjoy making everything as difficult as possible. They also don't save where you are at in a search, so if you open a PO to see if it's the right one, when you close it, you have to create a brand-new search EVERY SINGLE TIME. Then you have to remember what PO you just looked at, page through the results, make sure you are on the next PO, and then open that one.The system was clearly designed by interns, not software engineers and web designers that understand good UI/UX. The system is very slow, and while you are actively using it, going from page to page, it will ask if you are still logged in. I am not talking about if you sit idle on one page for a long time. While actively using it, it will continually ask you to verify you are logged in. Most modern websites will rely on a combination of methods such as JavaScript and session cookies.Another annoyance is when trying to type in line items for an invoice. Every time you select a textbox, such as to paste data in from your REAL invoicing system, Tungsten covers up the textbox with a tooltip so you can't see what you are doing in the textbox. It's absolutely infuriating that we have to fiddle around with EVERY single amount pasted. I have used fortune 500 enterprise-grade systems such as SAP, and while they are known for not being user friendly, they are efficient once learned. Nothing can make Tungsten efficient. They actively design it to be as painful and slow to use as possible.

Not a single reedeeming quality

Godawful, the worst of all e-invoicing systems I've used as 5 years as an Accounts Receivable Specialist. The user experience is genuinely abysmal, it's slow, unimaginative, the navigation is poor. Invoices are constantly rejected due to validation "errors" that the system fails to inform you of, so you blindly stumble and resubmit in the hopes of passing whatever invisible block it's set out for you. Often the system just blacks out when you try to submit or save something so you have to go back and do it again. Takes forever to get anything working and forever to get your invoices paid.

Awful system

A client of mine uses Tungsten & it's honestly dreadful. Constantly down or timing you out when I'm trying to upload invoices.When it is working it handles like a tank.No idea why anyone would willingly use this system.

Invadede my Control Panel and deleted…

Invaded my Control Panel and deleted COMPLETELY a competitor program !!!I had paid $99.00 years ago NUANCE PDF Professional 5. NUANCE was bought by KOFAX (look up THEIR terrible review on TRUSTPILOT), then KOFAX was acquired by TUNGSTEN AUTOMATIONWhat they did when I installed a trial version of KOFAX, they completely removed my NUANCE .After I reinstalled my NUANCE from an installation exe file which I had - wisely - saved, they now make it impossible to re-register it !!Activation Code comes out with only HALF the code fields.They should be sued via a class action suit.Needless to say that I received NO RESPONSE to my email queries about the problem THEY CREATED.And - seemingly - they dont respond on TRUSTPILOT either - - -

Shocking system. I've spent more time trying to navigate this poorly dsesigned system than I did on the job that I'm invoicing for.

Difficult to cancel an account. Best to not sign up.

Was forced to sign up by a supplier who no longer uses it. They make it very difficult to cancel an account involving lengthy filling in of Microsoft Word documents that have to be sent as email attachments etc. etc. All very 1995 and clearly designed to make cancelling too much effort so they can boast higher subscription numbers.

Awful system to use

Awful system to use, not fit for purpose, and not at all user-friendly from a supplier point of view I've been trying for three months to get one invoice accepted against my client's already approved PO. Worked out I had to put the amount in the qty box, and the qty in the amount box just to get this through Tungsten validation. Such a time waste have wasted another 4 hours this afternoon trying to get paid for work I completed literally months ago. Very frustrating and will be charging this time back.
