We use Notion for basically everything - our agency KB, project management, and CRM. It’s the backbone of how we stay organized.
The Good Stuff:
The customizability is unmatched. We’re very API-forward, so the way it integrates with Make and the MCP we use with Claude is a total game-changer for our automation.
In the last year, Notion has been pumping out updates so fast I can’t even catch up. I’m positive I’m missing out on half the new features, but here are the ones actually moving the needle for us:
AI Meeting Recording: This is huge. Since it’s local and you don’t have to have a "bot" join the call, it’s way less intrusive. Plus, because it runs locally, I can use it for phone calls and in-person meetings, which is a massive plus.
Database Upgrades: Love the recent additions like conditional coloring; it makes scanning high-level data so much easier.
Notion Calendar: The recent UI updates have made this a staple in my daily workflow.
The Not-So-Good Stuff:
Notion Mail: Honestly, it needs some love. The sorting and AI features leave a lot to be desired, and it bugs out on me pretty often. It’s a great concept, but it's not quite "there" yet.
The Learning Curve: There is definitely a steep curve for new users. I really wish there was a better way to introduce basic features to new team members without it feeling overwhelming.
My Wishlist:
Notion Chat: I’d love a native chat feature similar to Slack so we could finally keep the "talk" where the "work" is.
Basic Text Formatting: I’d love to use Notion as a legitimate word processor (like to write a book), but it’s missing the basics. You can't do double line spacing and you can't even do paragraph indents.
Overall, it’s an incredible tool that we couldn't run the agency without, even if I'm constantly chasing the latest update.
My thoughts on the service:
I believe this is quite beneficial for anyone looking to organize their plans and ideas independently.
(Having more than one person involved can complicate things.) Regarding the negative feedback:
Billing issues - I haven't faced the billing problems mentioned, as I haven’t paid for this service, so I have no comments on that.
Complicated to use - For those who say it's hard to "learn," there are free resources available, and the service provides reference documents that explain everything.
Laggy - I haven't encountered significant slow loading or glitches that made me feel frustrated with the website, nor do I recall any instances.
As a graduate student, I've utilized this service for note-taking over the last four years. Once you become familiar with its features, you'll find it hard to switch to anything else. I seldom write reviews, but I can't recommend this service enough.
